Our Process Our Process

We make your organization more efficient by decreasing your expenses and reducing the time your staff spends on peripheral products and services. Our pricing model is based on how well we perform for your organization. We are paid a percentage of the proven savings realized through our Expense Reduction Analysis and Expense Management Program. If we are unable to save your organization money, then there is no fee. Our Unique Product Sourcing and Product Management service is available for an additional fee and is optional.

Expense Reduction Analysis

Days 1-3:
Determine usage based on an audit of your invoices using our unique in-house database system

Days 4-6: Analyze our findings and identify opportunities for savings both in high volume items and dollars spent
  • Break down your organization's spending on peripheral products and services by category and supplier
  • Consult with your designated decision-maker concerning the preferences of your company regarding this process
Days 7-20: Depending upon your choices and existing agreements, we will:
  • Work with your current supplier(s) to restructure your pricing models based on our findings OR
  • Create an RFP for your organization and get pricing offers on high volume and high dollar items from various suppliers
Days 21-30: Evaluate proposals from your current or proposed supplier(s) and calculate savings for your organization by supplier and/or category
  • Identify available product alternates with current or prospective suppliers and consolidate all responses
  • Scrutinize data for additional areas that may contain alternate products or services at significant cost savings to you
  • Present the proposals for your consideration
Days 30-50: Implement your new price and/or product program with your procurement preferences - the unique mix of price and product/service attributes your organization requires - including any necessary training, communication with end-users, and set-up of new procedures and account structures

Expense Management Program
  • End-users place an order with suppliers or with BCR (your choice), we then:
    • Review orders
    • Examine orders for high-dollar items to verify market-competitive pricing
    • Based on the preferences of your end-users, availability of alternate products, quality of alternate products, and items on your supplier agreements, we will substitute products for lower-cost, comparable alternatives when cost is to your advantage while still meeting your delivery requirements
    • Act as a single point of contact for product research, information, returns, and customer service issues
  • Suppliers deliver directly to you
  • Purchases are invoiced to your company by your suppliers
  • On a monthly basis, we:
    • Bill for a percentage of your documented, hard-dollar savings
    • Compare the monthly invoices from your suppliers to the pricing on your supplier agreements, in order to:
      • Catch and correct pricing errors
      • Watch for price increases, compare them to market pricing, and take corrective actions when appropriate
  • On a continual basis, we:
    • Work with end-users to determine items that can be added to your supplier agreements to save your company additional money
    • Work with end-users to clean your supplier agreements by removing items that are no longer needed
    • Monitor usage in order to determine what items can be added to your supplier agreements based on the increased volume or dollars spent
    • Communicate with your suppliers to work on pricing for core products, order issues, customer service concerns, and invoicing
    • Review your spending and usage with you
Unique Product Sourcing and Project Management
  • Your designated end-users contact us with a request for product research and sourcing for unique products such as one-time or infrequent purchases
  • Examples of when this service is useful to you include: adding new work space, converting space for another purpose, or purchasing new office equipment
  • We provide preliminary research based on your requirements and give you a basic idea of pricing on that item (including our fee) and allow the end-user to decide how we should proceed to:
    • Complete in-depth research and analysis
    • Present available choices and make recommendations
    • Implement your choice including, if you prefer, purchasing the product on your behalf and billing you for it at the end of the month
